This policy applies to clients of Oki Smart Webs and end users who interact with chatbots we deploy on behalf of our clients.

From Clients (businesses who hire us)

  • Business name, contact name, email address, phone number
  • Business information used to build your chatbot (services, hours, location, FAQs)
  • Billing information — processed and stored securely by Stripe; we never store card details

From End Users (visitors who interact with your chatbot)

  • Name, email address, phone number (when voluntarily submitted)
  • Service inquiries and messages submitted through the chatbot
  • General interaction data (questions asked, responses received)

How We Use This Information

We use collected information to:

  • Build, configure, and maintain your AI chatbot
  • Respond to client support requests
  • Process billing and send receipts
  • Improve our services and chatbot performance
  • Pass lead information to the relevant client business

We do not sell, rent, or trade your information to third parties.

How End User Data Is Handled

When an end user interacts with a chatbot we have built:

  • Their submitted information (name, email, phone, inquiry) is passed to the client business for follow-up purposes
  • We may retain interaction logs to maintain and improve chatbot performance
  • End users should contact the client business directly for requests to access or delete their data

We use the following platforms to deliver our services. Each has its own privacy policy we encourage you to review independently.

Data Security

We take reasonable measures to protect client and end user data, including using reputable third-party platforms with industry-standard security, limiting access to client information to only what is necessary to deliver services, and never storing credit card or payment details on our own systems.

No method of transmission over the internet is 100% secure. We cannot guarantee absolute security.

Data Retention

  • Client business data is retained for the duration of the service relationship and up to 12 months after cancellation
  • End user interaction data may be retained by Voiceflow per their data retention policies
  • Billing records are retained as required by applicable law

Your Rights

You have the right to:

  • Request access to the personal information we hold about you
  • Request correction of inaccurate information
  • Request deletion of your data, subject to legal and contractual obligations

Our services are not directed at individuals under the age of 13. We do not knowingly collect personal information from children.
